Identity and Contact Details of the Data Controller

Pursuant to Article 13 of the European Regulation 679/2016 on the protection of personal data (hereinafter GDPR), we inform you that the data you voluntarily provide will be processed by Dot Beyond s.r.l. with a sole shareholder (hereinafter "Dot Beyond"), which acts as the Data Controller and can be contacted at the following address: segreteriagenerale@dotbeyond.it. The Data Protection Officer (DPO) of the Controller can be contacted at: dpo@dotbeyond.it

Purposes of Data Processing

The purposes for which the personal data you provide, with your consent, will be processed are as follows:

  1. To process requests for information following an explicit inquiry made by you through the dedicated page ("Contact Us") and/or by filling out specific contact forms. The data will be processed by employees and/or consultants of Dot Beyond acting as data processors for technical and/or website management purposes. In this case, processing is necessary to provide responses to your requests, and all information voluntarily included in your message will be processed. The only data that must be provided to receive a response are the contact details of the requester (first name, last name, email address, and/or phone number).

  2. With your consent, to send informational communications regarding announcements, initiatives, and events promoted by Dot Beyond. The data will be processed by employees and/or consultants of Dot Beyond acting as data processors and may also be disclosed, exclusively for the above-mentioned purposes, to companies with which Dot Beyond has contractual or commercial relationships to propose joint initiatives/events. These companies will process the data as Data Processors or as authorized personnel. During our initiatives/events, with specific authorization and release, photographs and/or audio-video recordings may be taken—possibly broadcasted via streaming—that could depict participants for promotional, advertising, and event documentation purposes.

  3. To carry out personnel recruitment and selection activities, where personal data will be processed exclusively in relation to the positions for which you have applied, as well as for any other current and future job openings. The processing will be conducted using paper, electronic, or telematic means, in a manner ensuring data security and confidentiality. The provision of such data is optional; however, refusal to provide them will result in the Data Controller’s inability to process your application and consequently proceed with the selection process. In the case of an unsolicited application, your data may be entered into a digital database and processed based on ongoing recruitment needs. If your CV is submitted in response to a specific job posting, your data will be used exclusively for the selection process related to that job opening. If, with specific authorization, you allow us to process your data for other job opportunities, the processing will follow the same procedures as unsolicited applications. Your data will be processed by employees and/or consultants of Dot Beyond acting as data processors and may also be disclosed, exclusively for the purposes outlined above, to companies with which Dot Beyond has contractual or commercial relationships for recruitment and selection purposes. Additionally, all criteria outlined in Legislative Decree 125/91 will be applied to ensure non-discrimination based on gender during the selection process. The processing of common personal data for activities strictly related to recruitment and selection, as well as their inclusion in the Dot Beyond database, does not require your specific consent. Similarly, pursuant to Article 6 (Lawfulness of Processing) of the GDPR, consent is not required even if the CV contains personal data classified as "special" under Article 9 of the GDPR.

  4. To conduct customer satisfaction surveys through an online questionnaire regarding the services provided, using the LimeSurvey application. Participation in the survey is voluntary and optional. Choosing not to participate will not have any consequences. If you choose to participate, some responses in the questionnaire may be mandatory to ensure the completeness and reliability of the results. For this specific purpose, processing involves collecting the personal data of respondents and subsequently aggregating and anonymizing the responses. The respondent may opt out of receiving future participation requests for these surveys at any time.

Recipients of Processed Personal Data

In addition to the recipients already mentioned, please note that your data may also be processed, exclusively for administrative/accounting management purposes, by external companies handling such activities, and for technical purposes by IT system staff of Dot Beyond and/or by external companies, to ensure website functionality and for the purposes indicated in the previous paragraph. In all cases, the processing of your personal data by third parties will not take place without your explicit consent.

Retention Period

The retention period for personal data collected for the purpose indicated in point 1) above is 1 year from the date of form submission and/or any other request.

The retention period for personal data processed for marketing and sponsorship purposes, as indicated in point 2) above, is 2 years from the date of consent.

The retention period for personal data related to the purpose indicated in point 3) above is 1 year from the date of curriculum submission or its last update.

The retention period for personal data related to the purpose indicated in point 4) above is 2 years from the completion of the online interview form. The provided responses will then be stored in an aggregated and anonymized format.

Data Subject Rights

Throughout the retention period of your personal data, you have the right to exercise the rights set out in Chapter III of the GDPR (Articles 15 to 22). Among these, we summarize the following rights:

  • To withdraw consent at any time without affecting the lawfulness of processing based on consent before its withdrawal.
  • To obtain access and confirmation of the existence or non-existence of personal data concerning you.
  • To understand the logic and purposes of the processing.

  • To obtain your personal data, provided with consent and processed by automated means, in a structured and readable format for transmission to another data controller.
  • To object, on legitimate grounds, to the processing of such data and to lodge a complaint with a supervisory authority.
